The "Email-to" feature allows users to automatically update Prospect or Contact records with activity information using any email client. After a one-time setup, this feature is enabled for all users. See External Email Tracking for setup information.

Get a Personal "Email To" Address

Login to the platform and complete this one-time setup:

  1. Click Settings > Personal Setup > My Email-to-
  2. A page opens, providing your unique "Email-To-" address that you can use to log email activities; You should copy this email address for future use
  3. Specify the third-party email addresses that you will use to communicate with your Prospects or Contacts; For example, <youraccountname>@gmail.com, <youraccountname>@yahoo.com, etc.

Try it Out

To test that the setup is correct, follow these instructions to send an email message to yourself and create a task in your account.

  • Copy your unique "Email-To-" address from the Setup page

  • Continue from one of these options: BCC or TO:

BCC: Option

  1. Open an email client
  2. Enter the email address of a Prospect or Contact in the TO: field
  3. Enter your "Email To" address in the BCC: field
  4. Send the message

The platform will receive the email and look for all the matching Prospects or Contacts present in the TO: field and CC: field of the email and attach a completed activity against this communication.

TO: Option

  1. Open an email client
  2. Open a message and select the option to Forward the message
  3. Enter your "Email-To-" address in the TO: field

The platform will search for the email address in the first FROM: clause in the message text, and will create a completed activity of this communication for the matching Prospect/Contact in the platform.

Tips

  • When multiple contacts are present with same email address, then only one activity will be created for each Prospect or Contact.
  • No Match? If no match is found, the platform will then open a task or create a completed task, depending on the default selected by the system administrator.
