My Email-to-
Settings > Personal Setup > My Email-to-LongJump
This feature lets you update Prospect or Contact records with activity information using an email client. After a one-time setup, this feature is enabled for all users. See External Email Tracking for setup information.
Get a Personal "Email To" Address
Login to the platform and complete this one-time setup:
- Click Settings > Personal Setup > My Email-to-
- A page opens, providing your unique "Email-To-" address that you can use to log email activities; You should copy this email address for future use
- Specify the addresses that you will be sending from, separated by commas. (To ensure that only emails you send are processed, any messages coming from other addresses are ignored.) For example, <youraccountname>@gmail.com, <youraccountname>@yahoo.com, etc.
Try it Out
To test that the setup is correct, follow these instructions to send an email message to yourself and create a task in your account.
- Copy your unique "Email-To-" address from the Setup page
- 1234567890@emailtoServiceName.com
BCC: Option
- Open an email client
- Enter the email address of a Prospect or Contact in the TO: field
- Enter your "Email To" address in the BCC: field
- Send the message
The platform will receive the email and look for all the matching Prospects or Contacts present in the TO: field and CC: field of the email and attach a completed activity against this communication.
TO: Option
- Open an email client
- Open a message and select the option to Forward the message
- Enter your "Email-To-" address in the TO: field
The platform searches for the email address in the first FROM: clause in the message text, and will create a completed activity of this communication for the matching Prospect/Contact in the platform.
Tips
- When multiple contacts are present with the same email address, then only one activity will be created for each Prospect or Contact.
- No Match? If no match is found, the platform will then open a task or create a completed task, depending on the default selected by the system administrator.
